Software development quotes: what to include in the briefing

Scope, integrations, timelines, and acceptance criteria: how to get comparable proposals from vendors.

Incomparable proposals come from vague briefings. Describe the business problem, who uses the system, which integrations exist, and what is MVP versus phase two.

List the systems involved, whether there is an API, webhook, or database access, and what still runs in spreadsheets or chat. That changes price, timeline, and architecture.

Define acceptance criteria per delivery: what must work for a stage to count as done. Without that, every vendor estimates a different scope and comparison becomes unfair.

Include real constraints: commercial deadline, compliance, hosting, who grants access, and who signs off. What slows projects most is not code. It is credentials and internal approval.

With a clear briefing, you get a fixed-price proposal by stage, explicit risks, and a concrete next step. Without one, you buy expectation.
