Context
Accounting firm in Duque de Caxias, Rio de Janeiro. Serves companies and freelancers, with a routine of receiving client documents, tracking deadlines, and issuing invoices.
Problem
Client work lived in scattered channels: documents arriving on WhatsApp and email, requests in chat, and a running list of what had already been delivered living in whoever was handling the account. There was no place for the client to see their own history, and no place for the team to see, in one view, what was still pending and from whom.
What was built
A purpose-built platform, not a marketing site. Each client signs in and uploads documents in the portal, with a history of what they already sent. The team works in an admin panel with open items, assigned requests, and operations indicators updated in real time. Access is split by role, client and admin, with different permissions.
Invoice issuance was brought into the portal, with a digital certificate and the full flow, including handling cases where issuance is rejected.
Client notifications and communication leave the system through the official WhatsApp API, with a verified number and controlled sending.

What is no longer manual
Receiving and organizing documents through chat threads. Looking up what is missing from whom by hand. Issuing invoices outside the system, then messaging the result to the client afterward. One-to-one follow-up that repeats the same message.
Hikari's role today
The platform is in production and Hikari remains responsible for maintenance, evolution, and infrastructure. Rollout happened in three waves: internal use first, then early external clients, then gradual expansion.
